Senior HR Administrative Specialist | Porto
Location : Porto (Frequent travel to France during first quarter)
Reports to: HR Manager
Job Summary:
The Senior HR Administrative Specialist plays a pivotal role in supporting the Human Resources department by performing a wide range of administrative and operational tasks. This position requires a high degree of organization, attention to detail, and a strong understanding of HR policies and procedures.
The Senior HR Administrative Specialist will first work closely with HR team leads in France and HR manager in Portugal, to complete process documentation and ensure the smooth transitioning of operations of HR functions in the SSC.
Once the transition completed, he/she’ll be in charge of the following activities :
Key Responsibilities:
1. HR Records Management:
- Maintain and update employee records, including personal and employment information, in compliance with company policies and relevant regulations.
- Oversee the record-keeping process to ensure accuracy, completeness, and confidentiality of HR documents.
2. Employee Onboarding and Offboarding:
- Coordinate the onboarding process for new hires, including paperwork, orientation, and training arrangements.
- Process employee terminations, and handle necessary offboarding paperwork.
3. Benefits Administration:
- Assist employees with benefits enrollment, changes, and inquiries.
- Collaborate with benefits providers to resolve issues and ensure timely administration of benefits programs.
4. Leave and Attendance Management:
- Track and monitor employee attendance, leaves, and time-off requests.
- Administer leave policies and assist employees with leave-related inquiries.
5. Compliance and Reporting:
- Stay current with HR laws and regulations and ensure company policies are in compliance.
- Prepare and submit HR-related reports to management as required.
6. HR Communications:
- Communicate HR policies, procedures, and updates to employees.
- Help create and distribute HR-related communications.
7. Assist in HR Projects:
- Participate in HR projects such as activity transfer (desktop procedure creation), HR system implementation, or process improvement initiatives.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or related field (preferred).
- 4+ years of experience in HR administrative roles, with a focus on HR operations.
- Fluent in English and French
- Strong knowledge of HR laws, regulations, and best practices.
- Proficiency in HRIS software and Microsoft Office Suite.
- Excellent organizational, time management, and multitasking skills.
- Exceptional attention to detail and accuracy.
- Strong interpersonal and communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Problem-solving abilities.
Working Conditions:
- This position is typically office-based, requiring regular business hours.
- During the knowledge transfer period, 3 to 4 months, the HR Admin Specialist will spend a lot of time in our Parisian offices.
Package :
Fixed salary 20/24K€ depending on experience / Bonus / benefits (lunch/medical insurance)
